Why we built BucketDesk differently

Your files stay in S3. The workspace comes to them.

BucketDesk is not another place to store your files. It is a better way to work with the files you already own. This page explains the problem behind that idea, the principles we design by, and the trade-offs we made on purpose.

Every Ultra feature, free for one month. No card needed to start.

The customer problem

The storage works. Working with the files does not.

If your business already stores files in Amazon S3, why move them into another platform just to make them easier to open?

  1. 01
The files are already in Amazon S3

Contracts, scans, media, exports and vendor archives land in S3 because it is durable, cheap and already part of your AWS account.

  2. 02
The people who need them cannot easily reach them

The AWS Console is built for administrators. Handing out console logins or access keys to open a PDF is a security problem, not a workflow.

  3. 03
So the usual answer is a second copy

Files get copied into a managed file platform, then drift out of sync with the systems that keep writing to S3. Now there are two sources of truth, two bills and two sets of permissions.

A different starting point

A workspace over your storage, not a new place to keep it.

Traditional file platforms such as Dropbox and SharePoint provide managed environments for storing, organizing and collaborating on documents, and they do it well. BucketDesk starts from the other end: the files are already stored, so the job is making them easy to work with.

Design principles

Six rules every feature has to pass.

These decide what we build and how. When a feature cannot meet one, we say so on the page that describes it.

  1. 01
    Data locality

Bring the workspace to the data. Existing Amazon S3 storage is the starting point. Teams work with files where they already live, with no migration and no second storage destination.

  2. 02
    Cost transparency

Make pricing visible. Every plan price is published. Before an archive extraction or a bulk conversion runs, you see its estimated AWS cost, and the cost center shows what BucketDesk activity costs you next to what AWS bills. That work, and your storage, stay on your own AWS bill.

  3. 03
    Transparent abstraction

Make S3 approachable without hiding it. Familiar ways to browse, preview, organize and share, so nobody needs to learn AWS. The bucket, folder and access model stay visible when they matter.

  4. 04
    Data movement minimization

Keep data close. Prefer AWS-native operations where practical and avoid moving or processing file contents without a reason. Every workflow is designed with its data path in mind.

  5. 05
    Data flow disclosure

Explain data handling precisely. Say exactly when and why file contents pass through BucketDesk, for previews or anything else. Describe the real workflow instead of claiming data is never processed.

  6. 06
    Architectural invariants

Extend the product without breaking the promise. New capabilities such as AI, automation and sharing respect customer control, data locality and minimal movement wherever practical, and each one explains its own data handling.

For business teams

A better way to work with files already in AWS.

BucketDesk turns your existing S3 storage into a workspace where your team can browse, preview, organize and share files without needing to understand AWS. Your files remain in your AWS account, under the control of your organization.

No storage migration. No additional storage destination. Just a simpler way to work with the files you have.

See what teams can do

For technical buyers

An application layer over customer-controlled S3.

BucketDesk connects through an IAM role you create from a CloudFormation template, with your own external ID and 15-minute credentials. The role reaches the bucket and folder you approve, reads by default, and gains each extra capability only when you switch it on.

Moving your files into BucketDesk-controlled storage is never a prerequisite for using the product.

Every IAM action, by plan

Customer-controlled storage by design

Customer data stays in customer-controlled infrastructure wherever practical.

The goal is not to claim BucketDesk never processes your data. It is to make sure that handing your files to BucketDesk-controlled storage is never the price of using it.

Customer ownership and control
Amazon S3 remains the authoritative storage location for your files. You keep control of your AWS account, storage configuration and IAM permissions.
Data locality
Where technically practical, file operations use AWS-native capabilities inside your account. BucketDesk works on data where it already resides rather than relocating it.
Data movement minimization
Some features need file contents to pass through the BucketDesk application servers, including certain previews. The objective is to keep that to what the feature needs, and to say so.

Data handling, precisely

When file contents pass through BucketDesk, and when they do not.

Each workflow has its own data path. This is the same list we publish with the IAM permissions, so you can check one against the other.

What BucketDesk keeps, and for how long ›

  1. Downloads, images, video and audio

BucketDesk signs a short-lived S3 link and your browser fetches the file directly from your bucket.

  2. Uploads

Your browser sends the file to your bucket in parts, each over its own signed link.

  3. Text, PDF, HEIC photos and thumbnails

Streamed through the BucketDesk servers in memory for the length of the request, then discarded.

  4. Word, Excel and PowerPoint

The BucketDesk document server fetches the file with a short-lived link and holds it while the document is open. Edits are saved back to your bucket.

  5. Document chat

The file passes through the BucketDesk servers to Amazon Bedrock in your own AWS account. Chats you keep are stored encrypted for 30 days after their last use.

  6. Archive extraction

Runs on AWS Batch in your account, reading and writing your bucket there. BucketDesk receives a summary of each job.

Deliberate trade-offs

What this design costs, and why we accept it.

Keeping your files where they are rules some things out and makes others harder. These are the choices we made on purpose.

Previews pass through our servers

What we chose
Text, PDF, HEIC and thumbnail previews stream through BucketDesk in memory, for the length of the request.
The alternative
Loading previews straight from your bucket would mean editing CORS on every bucket you connect.
Why
We do not ask customers to do console work to make a feature function. Downloads, images, video and audio still go straight from your bucket to the browser.

No index of your bucket

What we chose
Search matches the start of a file name in the current folder, is case sensitive, and does not look inside files.
The alternative
Full-text search would need a copy of your file names and contents in a BucketDesk database.
Why
We would rather ship a narrower search than hold a second copy of what is in your bucket.

Office files open on our document server

What we chose
Word, Excel and PowerPoint files are fetched with a short-lived link and held by the BucketDesk document server while the document is open. Edits save back to your bucket.
The alternative
Showing Word, Excel and PowerPoint files faithfully needs a document server, and S3 does not provide one.
Why
It keeps Office files off third-party platforms, and the file is held only while it is open.

Heavy work runs in your account

What we chose
Archive extraction runs on AWS Batch and document chat calls Amazon Bedrock, both inside your AWS account.
The alternative
Running them on BucketDesk infrastructure would be simpler for us to operate.
Why
Large archives and AI requests stay close to the data, under the controls of your account and on your AWS bill.

You need AWS

What we chose
BucketDesk works on Amazon S3 in an AWS account you own.
The alternative
A hosted storage tier would let anyone start without an AWS account.
Why
Offering our own storage would recreate the second copy BucketDesk exists to avoid.

A few permissions reach wider

What we chose
Three permissions cannot be narrowed to one folder because AWS offers no finer scope for them.
The alternative
Leaving out the features that need them.
Why
Each one starts off, and we list all three, why they exist and how you keep them off. The three wider permissions ›

Extending the product

New features keep the same promise.

AI, automation and sharing are where file products usually start copying data around. Here is how each one works in BucketDesk.

  1. Document chat

Questions about a document go to Amazon Bedrock in your own AWS account, through a separate role that holds only Bedrock permissions.

  2. Storage overview

Account-wide storage totals come from S3 Storage Lens in your account. BucketDesk receives bucket names, sizes, object counts and storage-class totals.

  3. S3 Savings

Small helpers inside your account hash file names before counting reads, and BucketDesk receives the numbers.

  4. Sharing

Links expire, can be revoked, ask the recipient to sign in with an emailed link and record every open. Live links stop working when the connection is removed.
